Booking Terms
Version 2026-10-02b. These terms apply to bookings made online at frostyrollers.com.
1. Who you are dealing with
Bookings on frostyrollers.com are taken by Frosty Rollers (“we”, “us”) as booking agent for the operator of the unit that will come to your event. Some units are run by Frosty Rollers itself; others are run by independent franchisees trading under the Frosty Rollers name.
Your contract for the event is with that operator. Your confirmation email tells you who the operator is and how to reach them. We take the deposit on the operator’s behalf.

2. Making a booking
You can book online from 7 days to about 18 months ahead. For anything sooner, use the enquiry form and we will see what we can do.
When you choose a date we hold it for you for 30 minutes while you pay the deposit. If the deposit is not paid in that time, the hold lapses and the date goes back on sale.
Your booking is confirmed when the deposit has been paid and you receive our confirmation email. If a payment reaches us after the date has already gone to someone else, we refund that payment in full.
Please check the date, address, start and finish times and event details before you pay. The service is booked for the start and finish times you give us; if you want the unit to stay longer, ask the operator, who may charge for the extra time.
3. Price, deposit and balance
A deposit of £100.00 is paid online when you book. It secures the date and is part of the price, not an extra charge.
The deposit is non-refundable. It is paid to confirm the booking and secure the date for you, and that is what it covers.
The rest of the price is agreed with and paid to the operator, in the way and by the time the operator tells you. If the balance is not paid when it is due, the operator may cancel the booking and keep the deposit.
4. Moving your date
You can move your booking to another date once, free of charge, if you ask at least 30 days before the event and the new date is available. Your deposit carries over to the new date.
Any further move, or a move inside 30 days of the event, is at the operator’s discretion.
5. Cancelling
You can cancel at any time by contacting the operator or us. The deposit is not refunded. If you have paid any of the balance, what happens to it is between you and the operator.
If the operator cannot attend — for example through breakdown, illness or severe weather that makes the event unsafe — we will try to offer you another Frosty Rollers unit for the same date, or a new date with your deposit carried over.
Because the booking is for a service on a specific date, the 14-day cancellation period that applies to some online purchases does not apply (Consumer Contracts Regulations 2013, regulation 28(1)(b)).
6. Your side of the day
Please make sure the unit can get to the pitch: a firm, level surface, a clear route for a trailer or van where one is coming, and somewhere safe to park. Tell us about narrow access, steps, gates or parking restrictions when you book.
Where the operator needs power, they will tell you what is needed. If the site cannot provide it, they will bring their own where they can.
You are responsible for any permission the venue needs for the unit to attend. If the unit cannot set up because of access, permission or site conditions that were not disclosed, the booking counts as cancelled by you.
Our desserts are made with milk and may contain or come into contact with nuts, gluten, eggs, soya and other allergens. Tell the operator about any allergies before the event; guests with allergies should speak to the team on the day.
7. If something goes wrong
The operator is responsible for providing the service with reasonable care and skill. If something is not right, tell the operator or us as soon as you can so it can be put right.
Neither the operator nor we are responsible for losses that were not foreseeable, for business losses, or for delay or failure caused by events outside reasonable control. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
Nothing in these terms affects your statutory rights.
8. Your information
We use the details you give us to take your booking and payment, and we share them with the operator so they can deliver the event and contact you about it. Payments are handled by Stripe; we never see your full card number.
We send you emails about your booking (the hold, confirmation, a reminder before the event, and any changes). We do not send marketing emails unless you have asked for them.

9. Complaints and the law
If you have a complaint, contact the operator first. If it is not resolved, email us and we will look into it.
These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
